All notices generated by the system are user defined in Microsoft Word
and utilize data merging. Some notices are generated automatically based
on certain event or action codes used when processing a case. Examples
of these types of notices are appearance notices and no progress notices.
All notices can be selected as needed by a clerk.
Entries to the JMS calendar are made automatically when event codes are
used that reflect an update to the calendar. Manual entries can also be
made as necessary. The calendar can be viewed by month with scheduled
days highlighted or by week with the types and number of hearings
displayed. Detailed information about the cases scheduled is available in
both modes. To assist clerks in scheduling and managing a judge’s
calendar, the system allows the blocking of whole days or blocks of time
within a day. Once a block is made the system will prevent hearings from
being scheduled during that period. Another feature determines conflicts
in scheduling for attorneys, probation officers, and police officers.
The ROA is a chronological listing of all events, actions, or other
information the court wishes to retain on a case. The majority of entries
are made automatically by the system as the case is updated. Manual
entries can also be made as needed.
In addition to required reports that the court must produce, the JMS system
generates various management reports. These reports include case
aging, case status, assignment, and a credit bureau report. This report
contains judgment information used by credit bureaus. Use of this report
not only improves staff productivity by reducing interruptions by credit
bureau personnel, it also maintains the integrity of court files.
JMS uses events and actions to process and track cases. Many
processes are automatically performed by the system based on the
current event of the case or on an action performed. For instance, a civil
case is entered with a ‘filed’ date. If no action occurs on that case for a
specified amount of time, the case will appear on a no progress report.
The system will also track summons service and answer, alerting the court
of cases that qualify for a default judgment. When entering a case, the
system will automatically assess the required fees based on the case
type. If the fees are paid prior to the case being entered, the receipt can
be generated and the fees will be applied to the case once it is entered.
Separate judgments are recorded for each litigant. The case index will list
all litigants and display the type of judgment, if any, for each litigant. This
feature is useful for cases where there are multiple litigants and judgments
are being rendered at different times. All of the necessary judgment forms
are also produced by the system.
